What do we need?

We're looking for an experienced Facilities Manager who can take ownership of the day-to-day management of our office environments, ensuring they remain safe, compliant and efficient. You'll be confident managing facilities, maintenance, contractor relationships and workplace projects across multiple locations. A strong understanding of Health & Safety is needed, with experience of maintaining compliance, coordinating risk assessments, managing statutory testing requirements and promoting a safe working environment for colleagues, clients and visitors. Strong organisational skills, attention to detail and the ability to build effective relationships with stakeholders across the business are essential, alongside a proactive, solutions-focused approach and a commitment to delivering high standards.
 
Key Accountabilities:

 

Facilities

  • Ensure environmental, energy efficiency and CSR reporting for the group
  • Involvement and management of facilities workstreams within group projects (refurbishments/office re-fits; closures and openings)
  • Maintain existing contracts and where appropriate tender contracts for services i.e. utilities, cleaning, waste, stationery, licences, air con, archiving, postal services, water systems.
  • Manage day-to-day office maintenance and repairs in a timely fashion.
  • Ensure confidentiality agreements and liability insurance certificates for all contractors in place.
  • Maintain driving licence and insurance records for staff using vehicles for business.
  • Review business rates and car park allocations.
  • Ensure we have a record for all of the certificates of destruction for confidential waste for last 6 years.
  • Process invoices for payment.
  • Ensure security systems and alarms are maintained (liaise with Atlas for Wirral offices).
  • Manage sub-let spaces and ensure compliance with lease obligations (e.g., annual roof checks). Maintain records of leases and associated requirements.

Health & Safety

  • Maintain and update the H&S policy annually (October).
  • Schedule and oversee risk assessments (fire, DSE) and ensure compliance.
  • Manage statutory testing schedules i.e. PAT testing (every 3 years); Emergency lighting (annually); Fixed wire testing (every 5 years); Fire extinguishers (annually); Fire alarm testing (weekly)
  • Ensure adequately trained first aiders and fire wardens; maintain records and refreshers.
  • Check first aid kits and defibrillator pads twice yearly.
  • Enrol new starters and role changers in H&S training (including remote workers); conduct new starter H&S induction and office tour.
  • Monitor and maintain office environment (noise, temperature, accessibility).
  • Log and report hazards, incidents, and near misses; maintain records for 6 years.
  • Coordinate fire evacuation drills and ensure compliance across sites.

People

  • Support People team with DSE assessments and ordering specialised equipment when needed.

Client

  • Deliver a great client experience to internal/external clients and key stakeholders.
  • To respect client confidentiality at all times. Manage daily issues across offices for maintenance, breakage etc. 

Profit 

  • Commercially driven: tenders for services where appropriate with best rates negotiated as/when required i.e. coffee machines, confidential waste, waste disposal, and office supplies including furniture ordered.

  • Appropriate NEBOSH or IOSH qualifications / IWFM Level 4 or 5 or working towards.
