ROLE DESCRIPTION: COP Administrative Support

Job title: COP Administrative Support

Reporting: Reports to the Head of Department/Team Head

Location: Walker House, Exchange Flags, Liverpool

Overall purpose:

To provide a first rate service to our clients according to their specific needs, ensuring full compliance with policies and procedures laid out by the group and by regulatory bodies. To act as an ambassador for the group at all times, actively promoting its services.

Key accountabilities. 

  • To actively deal with the payment of 3rd party invoices and payment requests forwarded by the team and to provide assistance with NatWest Bankline requirements;
  • To produce accurate and well-presented documents;
  • To deal effectively with e-mail enquiries from the team or instructions from clients and third parties;
  • To maintain up-to-date filing systems to allow lawyers to find and use documents easily and efficiently and also assist generally with document management, as and when required;
  • To update and maintain central department databases and spreadsheets in relation to clients and general file management;
  • To provide general assistance to the Head of Department/Team Head as and when required. This could involve locating documents, filing, drafting documentation, office organisation and liaising with clients and third parties;
  • To actively assist other members of the department where appropriate, notably in providing cover for holidays etc;
  • To respect confidentiality at all times;
  • To endeavour to improve knowledge and skills where appropriate;
  • To collect or deliver stationery, faxes, post, deliveries, cheques etc, where necessary, to facilitate the efficient running of the office;
  • To understand and use the group's technology effectively, and to participate in appropriate training to develop skills further or to adopt new systems;
